About Job:

• Maintain a friendly and welcoming environment in the Upper School building by greeting visitors and parents and helping to direct them to the correct location as needed.
• Manage the Office 365 Calendar of the Head of Upper School.
• Take minutes at meetings and briefings as directed by the Head of Upper School.
• Make telephone contact with parents in order to pass on messages from teachers when requested.
• Answer queries received by telephone or email.
• Direct phone calls or emails to the correct department.
• Support with recording attendance on iSAMS as needed.
• Support with managing the Upper School Lost and Found.
• Support with procurement process.
• Support the Admin team during fire alarms in line with the School’s policies and procedures.
• Support with facility/kitchen arrangements and logistics i.e. lighting, room set up and other fixtures for events.
• Support with the interaction with other agencies, such as the transportation department, when the need arises.
• Support with US Maintenance check and liaison with Operations in terms of any follow ups.
• Coordinate between parents and staff when necessary, introducing the differences between cultures.
• Assist in translation when required.
• Provide other support assigned by the line manager

About You:

  • • Bachelor Degree on Administration or related fields.
    • Ability to undertake a wide range of administrative tasks including word processing and filing.
    • Ability to manage multiple tasks and deadlines.
    • Proven literacy, numeracy and communication skills including being able to respond appropriately to staff,parents, pupils and outside agencies.
    • Ability to work to a high level of autonomy under limited direct supervision, including determining and organising information; to manage own workload, to work under pressure and with initiative.
    • Good telephone manner in dealing with a range of callers.
    • Experience in organising and managing administrative systems and procedures in an office environment.
    • Experience of working around children / young persons, preferably in a school.
    • Experience of working as part of a team
